Booking Process

We may also request additional information, such as fibre type, visible staining, access restrictions, parking limitations, or previous treatment history, so that we can assess the suitability of the carpet cleaning service and allocate the correct equipment and time.
Any quotation given prior to inspection is based on the information you provide. If the actual condition, size, access, or contamination level differs from the information supplied, we may revise the quotation before work begins. In some cases, we may refuse to proceed if the service requested is unsuitable, unsafe, or likely to cause damage. A quotation does not guarantee that the final price will remain unchanged where the job specification is altered, additional work is requested, or material facts were not disclosed at the time of booking.

Payments

Where a quote is given as an estimate rather than a fixed price, the final amount may vary depending on the condition of the carpet, the level of soiling, the number of rooms or items, and the treatment methods required. Estimates are provided honestly and in good faith, but they are not guarantees where the service circumstances differ from the original description. Any discount, promotional offer, or package rate applies only if the booking meets the stated conditions.
Changes, Cancellations, and Missed Appointments
You may cancel or reschedule a booking by giving reasonable notice. For standard carpet cleaning appointments, we request as much notice as possible, and in any event at least 24 hours where feasible. If you cancel with short notice, we may charge a cancellation fee to cover reserved labour, travel, and planning costs. The fee may be waived entirely or partly at our discretion where we can reallocate the appointment slot at short notice.
If you are not present at the agreed time, fail to provide access, or decline to proceed after our arrival without a valid reason, the booking may be charged as a missed appointment. Where we have already attended the property, a call-out fee or minimum charge may apply. Repeated cancellations, unreasonable delays, or failure to cooperate with agreed arrangements may result in refusal of future bookings.
You may request a change to the scope of service before the appointment begins. If the requested change materially affects the schedule, equipment, staffing, or price, we may treat the request as a revised booking rather than a simple amendment. Service Standards and Customer Responsibilities
We will carry out each carpet cleaning service with reasonable care and skill, using appropriate products and methods suitable for the condition disclosed and the visible characteristics of the materials. However, carpet cleaning is a treatment process, not a restoration guarantee. Natural wear, pre-existing marks, permanent staining, pile distortion, colour loss, water marking, and shading may remain visible after cleaning, particularly where the textile has been heavily trafficked, previously treated, or is inherently delicate. These are not defects in our service where they arise from the material condition itself.
The customer must disclose all known issues that could affect cleaning performance or safety, including underlay damage, damp, mould, loose seams, moth activity, adhesive failure, and pre-existing shrinking or stretching. We are not responsible for hidden or latent defects that could not reasonably have been detected prior to cleaning. If a carpet or furnishing appears too fragile, contaminated, or unstable to be safely treated, we may recommend a limited clean or decline the work entirely.
Where specialist chemical products are used, you should keep children and pets away from the treated area until it is safe to re-enter. Drying times vary depending on ventilation, temperature, humidity, and carpet composition. We will give a reasonable estimate, but we cannot guarantee a specific drying time. You should avoid walking on damp surfaces where possible and follow any aftercare instructions we provide verbally or in writing.
Liability
Nothing in these Terms and Conditions excludes or limits liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited under UK law. Subject to that, our total liability for any claim arising from a carpet cleaning service will be limited to the amount paid or payable for the specific service giving rise to the claim, except where a different limit is required by law.
We are not liable for indirect or consequential losses, including loss of profit, business interruption, loss of enjoyment, emotional distress, or loss of use of property, unless such loss is caused by a breach that cannot lawfully be excluded. We are also not liable for damage caused by pre-existing conditions, hidden defects, unsuitable materials, customer instruction, inadequate disclosure, or the inherent risks of cleaning delicate textiles. This includes cases where a customer asks us to proceed despite our advice that the item may not be suitable.
If you believe damage has occurred, you must notify us as soon as reasonably possible and allow us a fair opportunity to inspect the item and investigate the circumstances before repair or replacement is carried out by another party. Failure to preserve the condition of the item or to allow inspection may affect any claim. Where damage is proven to have resulted directly from our negligence, we may, at our option and to the extent permitted by law, attempt repair, arrange a suitable replacement, or provide compensation up to the applicable limit.
Waste Regulations, Hygiene, and Environmental Handling
White City Carpet Cleaners operates in accordance with applicable UK waste, hygiene, and environmental obligations. We will dispose of waste generated directly by our work in a lawful and responsible manner, which may include recovered dirt, used disposable materials, and limited residues removed during the cleaning process. We may separate and handle waste streams differently where required by regulation or good practice. The customer must not ask us to dispose of hazardous, prohibited, or unidentified materials unless we have expressly agreed to do so and are legally able to manage them.
Where a property contains hazardous waste, bodily fluids, mould contamination, vermin-related contamination, sharps, asbestos-related materials, or substances that may pose a health risk, the customer must inform us before the appointment. We may refuse to clean affected areas or may require specialist treatment arrangements. If we discover potentially regulated waste during a service, we may stop work immediately and leave the area safe where reasonably possible. Any additional time or disposal obligation arising from undisclosed hazardous material may be chargeable, subject to law and prior agreement where practical.
We may use water extraction, detergents, stain treatments, or other solutions that generate wastewater or residues. These are managed in accordance with relevant environmental and disposal principles, and we will take reasonable care to avoid unnecessary discharge or contamination. You are responsible for ensuring that the property’s drainage, plumbing, and wastewater routes are suitable for the intended service. If a drainage or disposal issue is caused by a pre-existing fault in the property, we will not be responsible for the consequence of that fault.
Complaints, Force Majeure, and General Terms
If you are dissatisfied with any aspect of the carpet cleaning service, you should raise the matter with us promptly and allow us a reasonable opportunity to review it. We may request photographs, further details, or an inspection where appropriate. Any complaint will be handled fairly and in a reasonable time. If a remedial visit is appropriate and proportionate, we may offer one at our discretion, without admitting liability, to address issues that are genuinely attributable to our service.
We are not responsible for failure or delay caused by events beyond our reasonable control, including severe weather, traffic disruption, illness, accidents, equipment failure, utility outages, or supply shortages. In such cases, we may reschedule the appointment or cancel it without liability for indirect loss. We will take reasonable steps to notify you as soon as practicable and to arrange an alternative date where possible.
Governing Law
These Terms and Conditions, and any dispute or claim arising out of or in connection with them, shall be governed by and interpreted in accordance with the laws of England and Wales. The parties agree that the courts of England and Wales shall have exclusive jurisdiction, except where consumer law provides otherwise or where mandatory legal rights apply. If any provision of these terms is held to be invalid or unenforceable, the remaining provisions will continue in full force and effect.
